How it works

A to-do needs
a when.

Keep the commitments that have a set time. Give the flexible work an estimate and a deadline. Planner works out where it fits.

Fixed plans. Flexible work. One day.
  1. 01

    Start with what is fixed.

Appointments, shifts, school pickups. Add who is involved and whether the event makes them busy. These are the commitments Planner works around.

  2. 02

    Add what needs doing.

Give a task an owner, an estimated duration and, if it has one, a deadline. A longer job can be split into useful chunks when you allow it.

  3. 03

See a plan you can use.

Flexible tasks take a place in the available time. When commitments change, Planner recalculates the work around them. Your fixed events stay fixed.

Try a change. Watch the tasks find a new time.

A simplified explanation of scheduling, using example data.

The plan has to fit
the time you have.

When there is too much to do, Planner shows work that could not be scheduled. You can change its deadline, priority or estimate, or make more time.

Unfinished flexible work rolls forward. It does not need to become a pile of overdue copies.

Get ready before the event.

Attach preparation to an appointment, match or trip. Its due time follows the event, so “pack the kit the night before” stays connected to the thing it is for.

See what is next.

Up Next keeps the immediate task close. Today and Notifications have their own views, so checking the day does not mean sorting through every update.

Keep Apple Calendar connected.

Connect Apple calendars per person to sync fixed events. Flexible task placements stay managed in Planner.
